If you're looking for a completely hands-off solution where someone else writes process FOR you, and you have to do very little — hiring a consultant might be the better fit than working with BuildTheProcess.
Consultants can help if you don't want to involve your team internally. While they're often more expensive and results can vary, working with a consultant is still better than doing nothing, especially if you're not willing or able to participate in the knowledge extraction or process mapping.
It's important to go in with realistic expectations. Many consultants have a very loose process and are freelancing with multiple clients — so be sure to ask how many they are working with and if you will be getting their undivided attention.
In addition, many businesses struggle with consultants over time due to lack of buy-in, processes that sit on the shelf unused, or documentation that feels disconnected from how work actually gets done.
The DocuLaunch Program is for companies that want to build real in-house process capabilities. If your goal is to create processes that reflect how your team actually works and can be maintained by your people, it needs to come from within. That's what this program is designed to do.

Yes, it's possible to implement process documentation on your own. There are templates and frameworks available through our Learning Center.
That said, doing it without professional facilitation comes with its share of challenges. Without outside guidance, it's easy to lose momentum, skip critical knowledge extraction, or struggle with team buy-in. Many teams underestimate the time and expertise required to capture what's really in people's heads and turn it into usable processes.
Professional facilitation provides structure, accountability, and expert insight to help you avoid common mistakes and move faster. If your team is highly self-driven, has strong leadership buy-in, and has successfully documented processes in the past, going it alone might work. But for most companies, facilitation increases the chances of long-term success and helps build the right process mindset from the start.

To fully implement DocuLaunch, you'll need a number of key team members of which their time commitment varies.
Roles:
Process Champion (1-2 hours/week)
Helps gather documents and facilitate the preparation phase from the client’s side.
The main Point of contact for BuildtherProcess throughout the our 90 days
Ensure’s client team is fully engaged and being held accountable internally.
Facilitates the Team Approval portion of our process.
Process Owner(s) (3 hours/ per process assigned)
Are the subject matter expert in a specific process.
Gather and provide existing process documentation/resources
Attend live process mapping working sessions to explain and share what is in their heads.
Complete the identified process improvements outside of live sessions
*Note that only assigned Process Owners attend their designated working sessions. If you’re the Process Owner of one process, your total commitment will be 3 hours. 6 hours assigned if two… and so on.
Leadership Team (<1 Hour/week)
Approve processes after they are stamped as the “best way” coming out of working sessions

Many of our clients come into this program with existing process documentation, whether it's scattered across different systems, partially completed process maps, or initial attempts at knowledge capture. In those cases, having a foundation to work from actually makes the DocuLaunch program easier and more successful.
Rather than starting from scratch, our role is to assess what you already have, identify gaps, and build upon your existing efforts to create a comprehensive, standardized system. We'll help you organize scattered documentation, fill in missing pieces, and ensure that what you've already created integrates seamlessly into a searchable knowledge base your team will actually use.
That said, as we work through the DocuLaunch framework, some companies discover that their existing documentation needs significant updates or restructuring, while others find they can build directly on what they have. Either way, we'll help you ensure that every hour you've already invested in process work contributes to a complete operational foundation that scales with your growth.

And as much as we'd love to work with every business that shares our passion for this approach, we've learned that long-term success comes from having the right operational foundation in place.
That said, there are still great ways to get started. Many smaller businesses begin with basic process documentation using simple templates and frameworks, giving you a more flexible and affordable way to build process thinking at your own pace. We also have resources and tools that can help you start capturing knowledge and standardizing key procedures without the full DocuLaunch experience.

The entire framework depends on extracting knowledge from your team members who understand the nuances, exceptions, and real-world application of how work gets done. Without this internal expertise, there's simply nothing meaningful to document.
If you don't currently have subject matter experts in key areas of your business, you'll need to address that first before DocuLaunch can be successful. We facilitate the extraction and documentation process, but the knowledge has to come from within your organization.

The goal of the program is to help your team implement all the core principles of DocuLaunch and build standardized, scalable operations inside your business. Progress is tracked throughout the 90-day program, with complete process documentation and knowledge base implementation as the target outcome. Most companies reach full operational independence within the 90-day timeframe. At that point, your team is fully equipped to maintain and improve the system on its own.
Some companies choose to engage us for periodic process audits or additional department rollouts as they continue to grow. Others bring us in for in-person workshops to ensure these concepts really stick and reinforce the process mindset across their team. Still others maintain complete independence, recognizing that they now have the process mindset and tools to handle operations internally. Businesses evolve, teams change, and new departments get added.
Many companies also stay connected through our process improvement resources, where they continue learning, refining their approach, and connecting with other organizations on the same operational journey.

DocuLaunch costs $7,500 per month and most client engagements last 3 months, so the total investment is typically $22,500. This includes the complete 90-day professionally facilitated program: knowledge extraction sessions, process mapping and documentation, searchable knowledge base implementation, template training, and process mindset coaching.

The first step is to schedule an initial call to assess your company's operational needs and growth goals.
We'll discuss where your company is today, where you want to be, and what scalability challenges you need to solve. We'll also determine if now is the right time to implement DocuLaunch and whether BuildTheProcess is the right fit for your business.
If we both decide to move forward, we move to the next stage where we'll gather your existing documentation from you and propose a game plan. This includes helping you understand the 90-day process, setting expectations for knowledge extraction and documentation, and most importantly, meeting your process facilitator. No one signs on unless there's a strong alignment between your team and your BuildTheProcess facilitator.
If everything makes sense and the partnership feels right, we finalize the agreement and get started. From there, we schedule your first knowledge extraction session, your first major milestone in the DocuLaunch program.
